The Role:

To support the Chief Fisheries Analyst in his daily diary management and to assist the fisheries analyst team with project coordination and administration duties  

Main responsibilities:

  • Personal assistant to Chief Fisheries Analyst to include
    • Manage diary using considered judgment
    • Regular planning with Chief Fisheries Analyst regarding internal and external prioritisation of tasks
    • Acknowledging internal and external communications
    • Recording outcomes and minutes in project management tools
    • Coordinating travel and processing expenses
    • Assistance with internal communications between Chief Fisheries Analyst,  Fisheries Analyst team, Administration and Development teams
  • Project Assistant to fisheries analyst team to help 8+ analysts as required with logistics and general project support.
    • Meeting scheduling and logistics
    • Analyst travel plans
    • Drafting communications and outreach materials
    • Drafting proposals and reports for projects
    • Assist with general administrative duties as required
    • Ensure project management system is kept up to date
    • Ensure other departments are kept up to date on project status

  • Clear, confident verbal and written communication
  • Demonstrated ability to effectively prioritise own work as well assist others in prioritisation.
  • 3 years plus experience working as Personal Assistant or Executive Assistant,
  • Demonstrated skills in project co-ordination 
  • Advanced Office 365 user
  • Experienced user in Time Management software (such as Scoro or others) would be advantageous.
